Transaction Description
Use this form to define corporate, tax, or budget books before you add assets to them. Multiple corporate books are allowed for each general ledger set of books. Multiple tax and budget books may be associated with each corporate book. You may have as many books as your organization requires.

The name of the book should be short (less than 12 characters) so that it will show properly in lists of values windows.
Perform the following configuration steps before setting up book controls:

- Allow Purge

- Allow GL Posting
- Depreciation Calendar

- Depreciate if Retired in First Year

If assets have not been added to the book, you may change the calendar that the book references. If assets have been added to a book and a new calendar is needed, create a new book and calendar.

Once a book has been saved, there is no way to change the beginning period date since the commit inserts rows into the fa_deprn_periods table.
Note: there isn't much documentation on the
Inactive On field. By setting this date, we observed the following results.
- The Book Controls window will query a book with an inactive date but will not allow an update to the field. In R11i a DBA can null out this date with SQL without adverse consequences but, we have not tested that in R12.
- The asset workbench ...
- will list the inactive book in the find screen, but won't recognize the book in other lists of values
- the find screen will show the book and will return query results for the book
- will open the asset but won't return a record by pressing the Books button
- won't allow additions or quick additions to choose an inactive book
- the books button is not grayed out, but will not return a record for an inactive book
- the financial inquiry button will return query results; all fields are protected against update
- the retirements button is not grayed out but will not recognize the inactive book
- the source lines button indicates the asset is not assigned to the inactive book
- the assignments button is not grayed out but gives the message that the asset should be added to a book before it transfer.
- Reports list the inactive book as a valid parameter and will return query results
- Run depreciation did not list the inactive book
- Create journal entries did list the inactive book but finished with an error because depreciation had not run.
